This policy explains what information we handle, why, and what your rights are. It is written to be read, not skimmed. If anything here is unclear, email privacy@deedclaims.com and a person will answer.
The two kinds of data we handle
There is an important distinction that runs through this whole policy:
Visitor and account data is information about you: the person browsing this site, requesting a demo, or holding a DeedClaims account. We are responsible for this data (the "controller," in legal terms).
Claim file content is the material our customers upload for analysis: surveillance video, recorded statements, medical records, correspondence, and other documents. This material usually contains personal information about people who are not our customers: claimants, witnesses, medical providers. For this data, our customer (the carrier, TPA, or investigation firm) is the controller and decides why it is processed. We process it only on their instructions, as their service provider (the "processor").
Visitor and account data
What we collect. If you request a demo: your name, work email, organization, and anything you choose to write in the form. If you hold an account: the same, plus billing details (handled by our payment processor, we do not store card numbers), and records of your use of the service (jobs run, features used) for billing and support.
What we don't collect. This website uses no advertising trackers, no analytics cookies, and no third-party ad pixels. We do not buy data about you, and we do not sell or share your information for advertising. The demo form uses a CAPTCHA to block bots; that is the extent of it.
How we use it. To respond to you, provide the service, bill for it, and keep it secure. We send no marketing newsletter. If that ever changes it will be opt-in.
Claim file content
What we do with it. We process claim files solely to provide the service to the customer who uploaded them: extracting findings, anchoring them to the source, and verifying those anchors. Access inside our company is restricted to what is needed to operate and support the service.
What we never do with it. We do not use claim file content to train machine-learning models. We do not sell it, share it with advertisers, or use it for any purpose other than providing the service to the customer who uploaded it.
What the service itself will not do. DeedClaims does not perform face recognition and does not identify people in video. It reports that objects are present at locations and times, and it quotes documents with citations. It does not score claims or assess anyone's honesty.
If your information is in a claim file. If you believe a DeedClaims customer has uploaded material about you and you want to exercise privacy rights over it (access, deletion, correction), the controller of that data is the insurance carrier, TPA, or firm handling the claim, so please direct your request to them. If they instruct us to delete it, we delete it. If you contact us directly, we will tell you this and, where we can, point you to the right controller.
Retention and deletion
Claim files are retained for the period included in the customer's plan, and then deleted. Customers can delete a claim file or an entire account at any time, and can ask us to do so; we honor those requests and do not keep a copy. Backups age out on a fixed schedule after deletion. Visitor demo-request data is kept only as long as we are talking to you, then deleted.
Where data lives and how it is protected
Data is stored on commercial cloud infrastructure in the United States. Each customer's data is separated from every other customer's. Data is encrypted in transit and at rest. Access is logged. SOC 2 Type II readiness work is underway; we are not yet certified and will not claim otherwise.
Service providers
We use a small number of vendors to run the service: cloud hosting, payment processing, and email. Each receives only what it needs to do its job and is bound by contract to use it for nothing else. A current list is available on request at privacy@deedclaims.com.
Legal requests
If we receive a legal demand for customer data, we will notify the affected customer before producing anything unless the law prohibits it, and we will produce the minimum required.
Your rights
Depending on where you live (including under state laws such as the California Consumer Privacy Act), you may have rights to access, correct, delete, or export your personal information, and to not be discriminated against for exercising them. Email privacy@deedclaims.com and we will honor these rights regardless of where you live, for the data we control. We do not sell personal information, so there is nothing to opt out of on that front.
Children
This service is for professional use. It is not directed at anyone under 18, and we do not knowingly collect information from children.
Changes
If we change this policy, the date at the top changes and material changes will be flagged to account holders by email. We will not quietly weaken it.
